Follow Up Session Rules, Guidelines and Expectations

Clients are required to begin participating in any ordered follow-up sessions within three weeks of participating in your intake session. Failure to engage in follow-up sessions within this time will result in case closure and referral back to probation.

Registration

Clients may register for follow up sessions by clicking here, 24/7, This link never changes. The registration form is also accessible under the "Resources" tab of this website.

Registration must be processed prior to 4pm on the day of the scheduled session. Again, you may register any day of the week, but registration closes at 4pm on the day of the scheduled session. No late registrations are available. If a client fails to register on-time, they will not be able to participate in the session and will result in an absence. Courtesy reminders will not be provided. It is the sole responsibility of the client to register for the session(s) in which they are ordered to attend.

Immediately following your registration, you will receive a confirmation email. This confirmation email contains the link to join the scheduled session. It is the responsibility of each client to keep track of this confirmation, as it is the only access into the meeting room.

If you fail to keep track of the confirmation email, you must contact the administrative office via phone prior to 5pm in order to gain assistance.

Clients are provided the opportunity to pre-register for all ordered sessions. Clients may contact their facilitator or email [email protected] to arrange advance registration and payment.

Participation

  1. Consecutive participation is required, and is the expectation. Clients are not permitted to participate on a drop-in basis.
  2. Late arrivals will not be permitted access to the meeting room. It is the clients responsibility to arrive on time.
  3. Participation while in a vehicle, at work, or participating in another hobby/activity is strictly prohibited. If a client has a special circumstance, it's their responsibility to gain prior authorization from their facilitator at least 2 hours prior to the start time of the session.
  4. When joining a session, client's screen name MUST be their name.
  5. Check-in is required at the beginning of each session. Facilitators share the link to sign-in at the beginning of the session. If a client fails to sign in, they will not receive credit for the session. If client fails/forgets to sign in, and you'd like to have the Zoom log audited, you may request that be completed in writing via email. You will be responsible for the audit charge of $25 to be completed within the following 5 days after receipt of payment.
  6. When participating virtually, all participants cameras must be on for the duration of the sessions.  It is not the responsibility of the facilitator to remind clients to do so.
  7. Participation while traveling (in a car, bus, plane, train, etc...) or while at work, at community service, or participating in any activity that prevents active engagement is prohibited.  Clients who do so will be removed from the meeting room without warning.
  8. Participating virtually is a privilege, and provides a low-cost alternative to 1:1 in-person sessions. Continued disregard of program rules and expectations will result in a non-compliant discharge in which client will be referred back to the referring agency for final disposition.

Absence(s)

Every client is permitted one excused absence throughout the duration of their program (regardless of length). If a client exceeds the one excused absence, they will be responsible for the no-show fee of $20. Payment of no-show fees are due upon receipt and will be billed at the time of the missed session, or at final case review upon closure.

If a client misses four sessions or more, their case will be closed non-compliant and referred back to the referring agency (probation officer) for final disposition.

Acknowledgement of Policies & Procedures

Clients must CLICK HERE to sign and submit this acknowledgement indicating you understand the policies and procedures as described above. This is required prior to participation in follow-up sessions. Failure to do so will result in a non-compliant case closure.
